Terms & Conditions

 

Events + Workshop Bookings:

Once you have made an event booking, if you wish to cancel, we ask that you provide 60 days notice, or alternatively, you may replace yourself.

Any cancellation less than 60 days prior to the workshop is non-refundable.

If you are paid-up for a workshop and cannot attend, and you advise us 60 days or more prior to the workshop, your cancellation admin fee is 20% of the workshop fee. We charge  an admin fee, due to the time it takes to make these types of arrangements and the time it takes to make refunds. If for example, if we have 8 people on the wait list, each person must be contacted one by one, make a decision and get back to us, it is very time consuming. Plus email lists, invoices and new information need to be provided, meaning cancellations create a lot of time consuming work for us.

In any of these cases, if you can simply replace yourself, we will make no charge for changing the name of the attendee. If you do this, please advise us of who is coming 7 days in advance, and make sure you forward all workshop information to them, or ask them to send us an email whereby we can send them all workshop information directly. In this instance, we do not refund and recharge and you must make your own arrangement with your replacement.

We apologize if you are unable to receive a refund. We understand that sometimes very difficult circumstances can arise, however we hope you understand how we arrive at our policy. Please make sure, before you book, that you can follow through and attend the workshop if at all possible.

In the case that WE cancel the workshop, we will refund all monies owing to you within 3-4 working days. 

Retreat Bookings:

Retreat bookings require an initial £50 holding deposit before arranging an introductory phone call.

A 25% non-refundable deposit is taken within 2 weeks of making the booking. Two further payments are taken to complete the payment.

The balance of the payment is due 90 days prior to the retreat event.

The balance minus 25% deposit, is refundable, only if notice of cancellation is given 90 days prior to the retreat event.

The 25% deposit is non-refundable, unless Botanical Inks has to cancel the event, or is for other reasons unable to offer the participant a place on the retreat. In which cases the deposit will be refunded.

We strongly advise that you take out travel insurance for unforeseen circumstances.

In the event of political, economic or environmental circumstances or changes in relevant countries and also health issues or theft/loss of belongings, Botanical Inks cannot take responsibility or offer refunds or compensation. We strongly advise having travel insurance to cover all unforeseen possibilities which could impact any travel arrangements. Including travel insuarnce to cover health and loss of belongings.

Details of the retreat location are provided once the booking payment is complete.

In the unlikely event that Botanical Inks has to cancel the event, a full refund will be given for the payments made to that date.

The following items are NOT included in the retreat package:

  • Additional Food and Drinks Menu: Botanical Inks does not cover the cost of items from the additional food and drinks menus (not included in the buffet such as smoothies and desserts - these must be settled at the end of your stay on your room tab

  • Massages and other spa treatments - these must be settled at the end of your stay on your room tab

  • Travel Expenses: Airfare to and from Koh Samui. (Standard return airfare from London to Koh Samui is estimated at around £600-800). Return ferries from Koh Samui to Koh Phagnan (Estimated £6 each way). Taxi from retreat centre upon departure (Estimated £10)

  • Personal Spending Money: For personal shopping and any other additional activities

  • Personal Travel Insurance: It is a requirement for all participants to have personal travel insurance

Physical Goods:

For the purchase of physical items, we have a standard 30 day refund policy. If the item is returned within 30 days in its original unworn/unused state we will happily refund the full cost of the item, minus any shipping or import/export duty fees.

All fabric sales are non refundable. Fabrics are cut off the roll to order and therefore cannot be refunded once cut.

The same terms apply for all kits including cut fabrics. All kit sales are also therefore non-refundable.

Digital Goods:

For the purchase of digital items, we do not offer refunds once the files have been transferred.

Sale Items:

For the purchase of all sale items, we do not offer refunds.

Services:

For the purchase of “services” such as consultation, sampling and productions, it may be possible to cancel the booking and request a refund, if the service has not yet been fulfilled, if cancelled within 30 days of placing the booking only. If the service has been fulfilled, a refund is no longer possible. If the 30 days has passed, a refund is not possible.

If a refund is requested after the period of 30 days and the services have not been fulfilled yet due to the client failing to book a time slot for the service or otherwise fail to provide the materials and information needed to fulfil the serive, the service is non-refundable.

If a service booking is made and not fulfilled by the client within 90 days, the booking will be archived and is no longer accessible or refundable. Services must be used within 90 days of placing the booking.

Bespoke Dye Services:

All bespoke services are made to order and therefore cannot be refunded or returned.

If you book a bespoke service with us, you must provide your item in 100% natural fibres. We only dye 100% natural fibres with our natural dyes. If you are not sure of the fabric composition, and you send synthetic fabrics after booking the service, we cannot refund for the mistake as we book out the time and provide the services with the understanding that the correct fibre composition is provided for our natural dyes.

If you miss the allocated service booking time slot, we cannot refund or postpone the booking. The time booked must be used as booked, as this time has been set aside for your booking, and the booking fee must cover this allocated time.

As a small business we can only operate with these terms in place, so we do hope that you understand that these terms are necessary.
